And whether it’s an hour or two of service from our “casual volunteers” to those folks who spend the majority of their week in volunteer service, we need you and we appreciate each and every one of you.

Volunteer Appreciation Program

Thank you for your interest in joining the Worlds 2018 Volunteer Staff. We simply couldn’t run the event without the contributions of our generous volunteers. Many volunteers will donate one, two or even several hours of their time during Worlds simply to be involved in the production. But for those who donate time beyond a “casual level”, we’d like to show our appreciation by offering more than just a heartfelt thank-you. For successful participation in this program, we will be happy to reimburse the value of your Worlds 2018 basic event pass.

As you might imagine, there needs to be a definition of expectations and some terms to this agreement to avoid any misunderstandings. You must be at least 16 years of age (as of the first day of Worlds) to participate in this program.  

Worlds offers two primary versions of event passes: the 6-Day Pass, and the 3-Day Pass. Within these two families of passes there are upgrades available. However, for the sake of simplicity, the basic 6-Day Pass shall be defined to have a value of $169, and the basic 3-Day pass shall be defined to have a value of $129. If you participate in this program and meet the time requirements defined below, Worlds will credit, waive, or reimburse you one of these amounts. How To Get Started: To Participate in this program, your first step is to contact the Volunteers Coordinator (Melissa Culbertson: Email: This e-mail address is being protected from spambots. You need JavaScript enabled to view it ) and communicate your desire to participate. This may be done at any time prior to your first shift as a Worlds volunteer (preferably even before arrival at Worlds). Next, you must agree to accept the terms of the program as described herein, and to follow all directions given to you by the Volunteers Coordinator. Once you’ve talked to the Coordinator, she will provide you with a code number to include with your on-line or hard copy registration. Finally, you must register for Worlds (see below).

Worlds Registration for Volunteers:

The volunteers’ registration procedure has been designed to make the administration of this program as easy as possible for everyone. Like everyone else, volunteers participating in this program will register for Worlds in one of three ways: on-line pre-registration, pre-registration using a hard copy form you mail to the Registrar, or through on-site registration at Worlds. Select your preferred registration method below and follow these customized instructions.

  • On-Line Pre-Registration: Access the on-line registration system through the Worlds website. Follow the directions to the end making sure to indicate all registration items you wish to purchase including any desired contest registrations (remember registration for all UCWDC ™ contests closes on 11/15/17). Do not select an event pass for yourself, but select everything else you wish to purchase on line. When you get to the payment screen you will click the “Volunteers” button and type your code number (see above) into the comments field. This will flag your file for payment of the event pass when you arrive on-site at the Opryland Hotel. You will then pay the balance of the amount owed using your credit card before exiting the on-line system. When you arrive at the Worlds Registration desk, you will be asked to authorize an additional credit/debit card transaction (or write a check) for your pass: for either $169 or $129 (depending on full-week or part-week plan as described herein). If you don’t wish to pay on-line, you also have the option of sending a personal check or credit card authorization for payment through the mail to the Registrar. However, one way or another, you must pay for everything you are purchasing (less your event pass) to receive any reduced pricing that may be applicable at the time of your purchase.
  • Hard Copy Pre-Registration: Print the hard copy form from the Worlds website and fill it out making sure to indicate all registration items you wish to purchase including any desired contest registrations (remember registration for all UCWDC contests closes on 11/15/17) but excluding the pass for yourself. Hand write on the face of the form “Volunteer Program” and include your code number (see above). Then, mail your completed registration to the Registrar as directed on the form. Be sure to include your credit card authorization for the total amount or a personal check to receive any reduced pricing that may be applicable at the time of your purchase. When you arrive at the Worlds Registration desk, you will be asked to authorize an additional credit/debit card transaction (or write a check) for your pass: for either $169 or $129 (depending on full-week or part-week plan as described herein).
  • On-Site Registration: Fill out completely your on-site registration form as directed by the registration staff and be sure to tell them you’re participating in the Volunteers Program. At that point you will be asked to authorize two credit/debit card charges (or to write two personal checks): one for $169 or $129 (depending on full-week or part-week plan as described herein) and one for the balance of your order.

Volunteer Assignments:

If you elect to participate in this program, you must accept the work assignment(s) selected for you by the Volunteers Coordinator. Therefore, it shall be to your benefit to contact the Volunteers Coordinator as soon as possible to increase the likelihood of drawing the type of assignment(s) you prefer. If you register before the Worlds event, you will have a volunteer packet of information waiting for you upon your arrival. Once you begin work as part of our staff, you must be on time for each work shift and dressed appropriately for the task(s) assigned.

Volunteer Option 1 (for full-week volunteers):

This plan is for volunteers that seek to have the cost of their basic 6-Day Pass dismissed (or reimbursed). If the volunteer logs at least 18 hours of volunteer work, and complies with the volunteer guidelines and expectations (to be distributed at Worlds) to the satisfaction of the Volunteers Coordinator, the volunteer shall have $169 waived from the amount owed to Worlds (or reimbursed if payment was processed prior to entering the volunteer program).  

Volunteer Option 2 (for part-week volunteers):

This plan is for volunteers that seek to have the cost of their basic 3-Day Pass dismissed (or reimbursed). If the volunteer logs at least 12 hours of volunteer work, and complies with the volunteer guidelines and expectations (to be distributed at Worlds) to the satisfaction of the Volunteers Coordinator, the volunteer shall have $129 waived from the amount owed to Worlds (or reimbursed if payment was processed prior to entering the volunteer program).  

Crossing the Finish Line:

As you complete your work assignments at Worlds 2018, the Volunteers Coordinator, or her designee, will keep track of your performance and the number of hours you worked. Her final report will authorize the UCWDC Registrar/Treasurer to avoid processing (or reimburse) the appropriate amount (if terms were met) or to process both authorized payments without adjustment (if terms were not met). All payments, cancelled payments, and reimbursements will be processed as soon as possible following the event, and your payment documentation will be mailed to you. You will not need to report to the Registration area or to the Treasurer upon the event’s conclusion to check on the status of your registration payment.
